Privacy Policy
What we collect, why we hold it, who can see it, and how to have it removed.

What we collect
We collect only what the service needs to work:
- account details: your email address and, if you provide it, your name
- case content: the situation you describe, booking references, amounts, dates, messages you paste in and files you upload
- billing records: the plan or pack you bought, payment status and identifiers from our payment provider (we never see or store your full card number)
- service logs: basic technical records used to keep the service secure and working
Please do not upload
Never upload card numbers, passwords, door or lock codes, or government identity documents. If a document contains them, remove or cover them first. Share only the guest details you genuinely need for the case — a first name is usually enough.
How your information is used
Your case content is used to produce your analysis, evidence checklist and drafts, and to keep a record of your cases for you. It is processed by our AI provider strictly to generate your case output. We do not sell it and we do not use it to advertise to you.
Who can see it
Only you, and any organisation members you share a workspace with. Access is enforced at the database level, files are stored privately and reached only through short-lived signed links. A HostCase reviewer sees a case only when you request human review. A small number of administrators can access records where necessary for support, security or legal obligations, and that access is logged.
Retention and deletion
We keep your cases while your account is open so you can refer back to them. You can delete a case at any time, and you can ask us to delete your account and its content by writing to support@hostcase.ai. Some billing records are kept where the law requires.
Your rights
You can ask for a copy of the information we hold about you, ask for corrections, or ask for deletion. Write to support@hostcase.ai and we will respond within a reasonable time. We handle personal information in line with Australian privacy law.
